Policy and Procedure Changes Due to COVID-19

My goal has always been to provide a safe and comfortable space for my clients. So during this strange time of COVID-19, this does not change. However, in order to continue making my office a safe and comfortable place for all my clients during this time, there are some changes that are going to occur in order to make this possible. I will continue to update this list as need be should I gain more knowledge on any additional changes that may need to occur to continue providing safe counseling space for my clients.

 

Below is a list of policy changes and procedures that I will be implementing upon re-opening Hopkins Counseling in order to create a safe and healthy environment for in person counseling sessions in my office:

  • All clients will have to wash their hands before entering the waiting room.

  • I will be cleaning and disinfecting all frequently touched surfaces in between sessions.

  • The locations of my seating options within my office were already a good distance apart, but now they further apart to ensure social distancing is maintained during sessions.

  • I will be using fabric disinfecting spray on my couch and chair in between sessions to disinfect. But there will also be an option for clients to sit on a hard surface chair that can be wiped down with bleach water in between sessions should you prefer to sit there instead.

  • Clients are being asked to wait in their car until I let them know it is time for their appointment. The waiting room will not will be utilized in between appointments at this time to limit exposure to other clients.

  • I am asking for only my client and if the client is a minor their parent/guardian to come to appointments in order to limit the amount of people in my office and the building. If this isn't possible, then I am asking for siblings and other family members to please remain outside during the session time.

  • Because we are not utilizing the waiting room at this time this means that when I am working with your kids/teens, I will not be able to keep your children out in the waiting room so that we can talk at the beginning and/or end of our sessions. But do not worry, I have several options in order to still keep communication open between all of us. We can discuss what option will work best for you and your child/teen.

  • Do you have to wear a mask during your counseling appointments? I am allowing this to be a case by case situation because I feel like for counseling a mask covering your face can interfere with my ability to be able to understand how you are feeling during your session. I will have a mask on hand with me at all appointments and will wear one if you would like me to. I will respect your choice on this matter and do as you wish.

  • I will not be able to provide calming items like the kinetic sand, squishies, or similar items during this time. But I am okay if you bring such items with you to use during our sessions.

  • Payment options at this time have changed to cash, check, and keeping a credit card on file through Square (which is the processing system I have always used to run credit cards). I will not be able to swipe credit cards on my phone at the time of your appointments and have you sign on my phone at this time. I can manually input your credit information at each appointment or save the information to Square which is secure. Running the card through manually or having it on file does not change anything for you besides that you will not be needing to sign for payment at the time of payment.

  • And of course, if you or any of your family members are feeling sick please cancel your appointment and stay home. There will not be any cancellation fees for last minute cancellations due to illnesses or symptoms related to illnesses.
